Portonics Limited · Portonics Finance
Finance application terms
These terms govern authorized internal use of the local edition of Portonics Finance, provided by Portonics Limited. They supplement, and do not replace, applicable employment, confidentiality or service agreements and mandatory legal rights.
1. Authorized internal use
Portonics grants authorized users a limited, non-exclusive permission to use the application for Portonics' internal financial reporting. Only a person authorized to administer the relevant QuickBooks company may connect it. Do not connect another organization's records without its authorization, share access with unauthorized people, or use the application to bypass accounting-system permissions.
2. Scope and limitations
The current edition retrieves the last 12 complete calendar months of QuickBooks profit-and-loss reports and the chart of accounts. It displays monthly revenue, expenses, net profit and mapped expense categories. It does not currently provide automated live updates, statutory accounts, tax filings, individual payroll calculations, payment processing, full transaction drilldowns or reliable project margins without allocation data.
Amounts depend on the source bookkeeping, selected cash or accrual basis, reporting dates and local mappings. Users must compare important reports with QuickBooks and obtain suitable finance review before relying on them for business decisions. This application is a reporting aid; it is not accounting, tax, legal or investment advice.
3. QuickBooks connection
QuickBooks Online is supplied by Intuit under separate terms. The general Accounting permission granted by Intuit is broader than read-only access; this application's accounting connector implements only permitted read operations. Authorization and token-management requests are necessary to maintain the connection. Local expense mappings do not change the books in QuickBooks.
Connections may require renewed authorization. Users can remove the local connection and should also revoke the app in QuickBooks when ending access. Removing the connection retains imported history unless it is separately deleted. Intuit is not a party to these application terms, and no Intuit endorsement or certification is implied.
4. Data and confidentiality
The connected organization retains its rights in its records. Use of the application permits processing those records solely to provide the authorized reporting functions. Handle reports, credentials and exports as confidential information. The Finance application privacy notice and corporate Privacy Policy describe relevant processing.
The local application has no LLM integration. Do not paste live financial records, tokens, passwords or screenshots into an AI assistant when requesting help. Troubleshooting should use source code, synthetic examples or sanitized operational status.
5. Device security and availability
The device owner is responsible for restricting host access, protecting the portal password and encryption keys, installing updates, maintaining appropriate backups and keeping Docker running when using the app. Loss of the encryption key can make local records unreadable. Docker storage alone is not a backup.
Do not expose this local edition to a public network or shared staff access without an appropriate security review and deployment configuration. Availability depends on the host computer, Docker, network connectivity and Intuit services. No uptime commitment or paid support plan is created by these terms.
6. Software rights and acceptable use
Portonics and the relevant third-party licensors retain their respective rights in the software. Applicable open-source licenses remain in effect. Do not misuse credentials, probe other users' data, introduce malicious code or use the application unlawfully.
7. Support, changes and ending access
Contact support@portonics.com for support or suspected security incidents. Do not include secrets or complete financial exports in ordinary support messages. Portonics may update the application or suspend access to address security, legal or operational concerns. Material changes to these terms will be communicated to authorized users.
On ending use, revoke the Intuit connection and follow Portonics' instructions for retention or deletion of local reports, credentials, keys and backups. Ending use does not remove the original accounting records from QuickBooks.
8. Responsibility and applicable agreements
The application is provided for internal use without a guarantee that every report is complete, current or error-free. Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded, or changes obligations under an existing written agreement. Questions or disputes should first be raised with Portonics Limited at the support address above.
