Finance application privacy notice

Effective date: November 6, 2026

This notice describes the local edition of Portonics Finance, an internal reporting application operated by Portonics Limited. It supplements our corporate Privacy Policy with information about this application's handling of QuickBooks data. It does not describe unrelated Portonics products or the marketing website. Where the corporate policy describes optional analytics or marketing, those features are not used by this local application.

What the application processes

When an authorized company administrator connects QuickBooks Online, the application processes the company name and identifier, chart of accounts, monthly profit-and-loss reports, account-level amounts, reporting dates, currency, and accounting basis. Account names and report fields can contain personal or commercially sensitive information. The current edition does not request individual employee payroll records or transaction-level invoice and payment details.

The application also stores connection credentials and authorization tokens, a salted hash of the local portal password, expense-category mappings selected by the user, and import status. It does not store the QuickBooks login password.

Why this information is used

Information is used to retrieve authorized accounting reports, show monthly revenue, expenses and profit, group expenses into understandable categories, and maintain the connection. People cost is based on account mappings; project profitability requires additional resource-allocation information that is not included in this edition. These records are not used by the application for advertising, sale, or profiling unrelated to internal financial reporting.

Where data goes

Accounting API requests travel directly between the application backend on the user's computer and Intuit over HTTPS. Imported records and connection secrets are stored as encrypted document values in local Docker volumes. The encryption key is kept in a separate local volume. The browser displays reports on that computer. People with sufficient access to the host computer or Docker can access the data and keys.

The application contains no LLM or generative-AI integration and does not send financial records or connection secrets to an AI provider. It contains no third-party analytics, advertising scripts, session recording or remote error-reporting service. Runtime API payloads are not written to application logs. This describes the deployed application's behavior, not independent tools, extensions, backups or services a user chooses to enable.

Intuit separately processes data needed to provide QuickBooks and authorization under its own terms and privacy notices. Device backups, browser extensions, credential notes and file-sync services are controlled separately by the device owner. In particular, a password saved in a notes application follows that application's storage and sync settings.

Access and cookies

The local portal requires a password and uses an essential session cookie. The current edition is limited to a local administrator session and is not a shared staff-access system. The service binds to the local machine by default. It does not use tracking cookies. Protect the computer, password, encryption keys and backups; do not share a signed-in session.

Retention, correction and disconnection

Imported snapshots remain locally until replaced by a later successful import or removed by the device administrator. A successful re-import replaces the stored reporting window; a failed import keeps the previous complete snapshot. Expense mappings remain until edited or removed. The current edition does not perform automatic age-based deletion of all stored information.

Removing a local connection deletes the locally stored connection tokens but retains imported reports and mappings. Revoke the app in QuickBooks to end Intuit authorization. Removal of local data does not delete the source books in QuickBooks. Backups may retain separate copies under the device owner's backup policy. Request help with access, correction, export or deletion at support@portonics.com; Portonics will assess applicable rights and any record-keeping obligations. Do not email passwords, tokens, payroll files or full financial exports.
